Facilities and Compliance Co-ordinator

About the role!
Join one of London’s most prestigious mixed-use developments—an iconic riverside destination defined by architectural elegance, luxury living, and seamless integration of public and private spaces. As our Facilities and Compliance Coordinator, you’ll play a vital role in ensuring the smooth operation and regulatory excellence of a landmark development that combines world-class residences, landscaped gardens, high-end retail, and exclusive amenities across multiple towers. Who we're looking for;
You will help drive strategy, promoting encouragement of the comprehensive residential amenities experience to meet and exceed our residences expectations, enhancing our reputation for excellence. The role will ensure functional & operational assistance, this comes in the format of supporting administration & system management.
What you'll be doing;
• Monitor platforms such as Dwellant, Riskproof, HOTSOS daily.
• Generate reports to track progress in closing out raised actions.
• Collaborate with site teams and Facilities Managers to ensure actions are completed in a timely manner.
• Take responsibility for closing out actions when necessary, under the oversight of the PRM and General Manager.
• Perform necessary administrative tasks related to developments.
• Creation of PO’s in the absence of purchaser / holidays.
• Record minutes, update groups/clients, and review/update processes as required.
• Support the facilities & compliance manager in keeping of accurate records of essential fire safety and building information.
• Procure any missing information to ensure compliance.
• Update databases with relevant O&M (Operations & Maintenance) information as part of the Licence to Alter process completions.
• Support the upkeep of data within the Zutec platform.
• Regularly update and monitor defects platforms provided by clients.
• Gather necessary information and evidence from third parties for submission.
• Attend meetings and coordinate defect-related actions with site team.
• Compile and generate reports for clients and site teams.
• Track ongoing actions and projects to ensure progress is maintained across the site.
• Engage with site team to track contractor activities, including start and completion dates.
• Provide coverage for facilities & compliance managers during periods of annual leave.
• Maintain and update the LRM Prime Portfolio contractor document to ensure accurate records of contractor performance and engagement.
• Support the collation of information required for annual SFG20 audits conducted by third parties and internal teams.
• Assist in the implementation and ongoing compliance with the Building Safety Act 2022.
• Ensure that buildings are safe and provide a secure environment for all stakeholders.
• To support the tracking of golden thread of information currently being held and precure any potential information missing
Our ideal candidate;
Essential:
- Proven experience in facilities coordination, property operations, or compliance support, ideally within residential or mixed-use developments.
- Working knowledge of health & safety regulations, including the Health and Safety at Work Act 1974, and familiarity with the Building Safety Act 2022.
- Strong administrative and organisational skills with the ability to manage multiple tasks and priorities effectively.
- Confident user of Microsoft Office, especially Excel (reporting, trackers, dashboards).
- Ability to liaise professionally with contractors, residents, and internal teams.
- Strong verbal and written communication skills.
- A proactive, solution-focused approach to service delivery.
Desirable:
- IOSH Managing Safely or equivalent Health & Safety training.
- Proficiency in using property and compliance management systems (e.g. Dwellant, Riskproof, Zutec, CAFM, or similar).
- Associate Membership to IWFM/RICS/TPI
- Experience supporting audits (e.g., SFG20, fire safety, statutory compliance).
- Understanding of asset management principles and defect resolution processes.
- Experience in high-end residential, build-to-rent, or estate management environments.
- Exposure to service charge environments and working with managing agents & Contractors.
Health & Safety
- To be aware of, and comply with, safe working practices as laid down under the Health and Safety at Work Act 1974 and Company IHASCO training, as applicable to your place of work. This will include your awareness of any specific hazards at your workplace.
- To be aware of and comply with Food Acts.
- To wear any appropriate protective clothing provided by or recommended by the site,
- To report any defects in the building, plant or equipment according to site procedures.
- To ensure any accidents to colleagues, residents or visitors are reported in accordance with site procedures.
- To attend statutory fire training and to be fully conversant with and abide by all rules concerning, fire, health & safety.
- To attend any training deemed appropriate by your Head of Department.
