What you will do
As our Office Coordinator, you will be the heart of our workplace experience, leading operations and administrative support for our Ghent office as well as supporting our other Belgian locations (Bruges, Brussels). You will ensure our physical office, people, and culture blend seamlessly to create an exceptional environment for our team. This role is focused on managing dynamic workspace solutions, coordinating engaging office events, and fostering the Lighthouse culture.
Where you will have impact
- Manage all day-to-day office logistics, including ordering food, drinks, and supplies, to ensure our workspace is efficient, organized, and welcoming.
- Oversee facilities management by coordinating with building services for maintenance, repairs, and general improvements to keep our office in top condition.
- Critically assess current office processes, identifying opportunities for improvement and automation to streamline operations (e.g., vendor management, ordering systems).
- Develop and maintain comprehensive office documentation, including a playbook for new joiners on Confluence, to ensure information is clear and easily accessible.
- Collaborate with external vendors, track invoices, and partner with our Finance team to ensure smooth operations and timely payments.
- Support our P&T team by coordinating welcome packages for new joiners, by showing new joiners around on their first day and by being the first POC for all office-related questions.

You’ll be joining our Internal Ops & Events team, a close-knit and resourceful group of Office Coordinators based in locations like Denver, Dallas, and Madrid. We are a fun, collaborative team that connects to share ideas, brainstorm best practices, and support one another. While you'll be the go-to expert for our Ghent office, you'll be part of a global team working together on projects and celebrating our successes.

Who you are
- Proven experience in an office management, workplace coordination, or a similar administrative role.
- Exceptional organizational and time-management skills, with the ability to prioritize a heavy administrative workload and event coordination simultaneously.
- A proactive, resourceful, and independent problem-solver who can identify inefficiencies and propose solutions.
- An energetic and outgoing personality; a true culture ambassador who gets energy from interacting with people and organizing events.
- The ability to manage expectations or navigate difficult conversations.
- Fluency in both Dutch and English (written and verbal) is required to collaborate with local vendors and our global team.
- Proficiency with office software and tools, particularly Google Workspace.
- Based in or near Ghent and able to work from the office nearly every day.
