Job Purpose
The Facilities Co-ordinator & Preventive Officer ensures that our premises and services meet operational needs, creating a safe environment for employees. This role involves overseeing maintenance, managing supplier relationships, and ensuring health and safety (H&S) compliance.
Responsibilities:
- Implement the planned preventative maintenance schedule, maintaining records and certifications.
- Support the Facilities and Health & Safety Manager and contractors as needed.
- Manage the Facilities Jira ticket portal, including ticket assignment and closure.
- Ensure compliance with Warehouse Access control by issuing security cards and checking in visitors promptly.
- Assist with employee onboarding and offboarding, providing H&S induction and access rights.
- Order and maintain stock for facilities management services like printers and cleaning supplies.
- Collaborate with stakeholders on purchasing tasks to meet business needs.
- Review invoices for approval from the Facilities and Health & Safety Manager.
- Execute projects as directed by the Facilities and Health & Safety Manager.
- Update noticeboards with H&S, benefits, and recruitment information.
Health and Safety:
- Conduct weekly premises audits for timely maintenance, recording data, and escalating concerns.
- Ensure all on-site contractors have the necessary health and safety documentation before entry.
- Promote adherence to Lifeplus H&S guidelines, ensuring personal and others' safety through RI&E implementation.
- Understand and adhere to Lifeplus Health & Safety procedures via eLearning, training, and handbooks.
- Facilitate DSE management for employee compliance with the Working Conditions Act.
- Oversee recruitment, training, and engagement of First Aiders and Fire Wardens, including regular emergency tests.
Preventive Officer:
- Ensure current Risk Assessments and effective implementation of the plan.
- Collaborate with HR on medical advice for a safe work environment, addressing necessary measures.
- Facilitate regular reviews and updates of risk assessments and documentation of SOPs and training materials.
- Verify that induction training for new employees is current and documented.
- Maintain a summary of Personal Protective Equipment (PPE) distribution.
- Monitor near misses and incident reports, advising or implementing measures for H&S compliance.
- Participate in monthly Health and Safety meetings.
- Conduct monthly Prevention Officer audits, including fire equipment inspections and emergency escape route checks.
Candidate Profile:
- Excellent written and oral communication skills in Dutch and English with the ability to convey complex messages to key stakeholders.
- Ability to multi-task and prioritise workloads with a keen eye for detail and be able to demonstrate a high level of accuracy.
- 3 years’ experience or qualification in health and safety compliance in a similar environment.
- Excellent people skills – being able to deal with internal and external stakeholders across the business at all levels.
- Excellent IT skills particularly Microsoft Office products
Salary:
€3.250 - €3.350 EUR
