Position title: HR Administrator
Reports to: HR Manager
We are looking for a highly organised, detail-oriented HR & Compliance Administrator to support the People Team across a wide range of HR processes.
This role is key to ensuring smooth onboarding, compliance, and vetting procedures, as well as providing administrative support across investigations, travel coordination, and payroll activities.
You will be entrusted with handling sensitive personal data and confidential matters, ensuring compliance with regulatory requirements, and maintaining clear and effective communication between key stakeholders.
KEY RESPONSIBILITIES
Onboarding & Compliance
- Organise and manage onboarding documentation submitted by new hires.
Ensure all required information is complete and accurately recorded. - Verify documentation formatting and cross-check against ID records.
- Proactively contact individuals to correct or complete missing information.
- Issue contracts and upload signed documents to internal systems (e.g. WP2).
- Send contracts in line with employee status/tag updates
- Follow up with individuals who do not complete onboarding within required timelines.
- Maintain accurate trackers to ensure visibility across onboarding stages.
Airport Pass & Vetting Administration
- Set up new hires on required platforms to initiate airport pass applications.
Handle sensitive personal data with a high level of accuracy, ensuring alignment with official ID documentation. - Request and manage DBS checks.
- Identify and apply for the correct type of pass (visitor, temporary, employment or Full pass) based on role requirements.
- Liaise with Vetting Provider – SVS, in obtaining the 5-year education and employment history of employees.
- Maintain clear communication with applicants, Store/Team Managers (STMs), District Managers (DMs), and vetting teams.
Accurately track and maintain records throughout the application process.
Investigation & Disciplinary Support
- Attend meetings to take clear, detailed, and accurate notes.
- Edit and distribute meeting notes in a timely manner.
- Review CCTV footage to support internal and external investigations.
- Collect written statements relating to in-store incidents.
Travel Coordination
- Book cost-effective train travel via Trainline.
Manage Oyster card top-ups as required.
General Administration
- Prepare and issue employment references.
- Support payroll processes, including issuing change-of-bank-detail forms via DocuSign.
- Calculate and submit end of month Cost Management sheet.
- Provide ad hoc administrative support across the business as needed
ABOUT YOU
- Highly organised with strong attention to detail.
- Comfortable handling confidential and sensitive information.
- Strong communication skills (written and verbal).
- Ability to work independently and manage multiple tasks and meet deadlines in a fast-paced environment.
- Proactive, adaptable, and solution-focused.
- Quick learner with a positive attitude.
REQUIREMENTS
- Must be at least Juicer qualified.
- Clear disciplinary record.
- Previous experience in HR, compliance, or any administrative tasks is preferable.
Salary Range
£15.63 - £15.63 GBP
