HR Specialist in Munich, Germany (m/f/x)

We are currently looking for a reliable, proactive, and people-oriented HR Specialist to join our HR team. You will ensure smooth day-to-day HR operations for our growing Munich office, including payroll data preparation, combining strong administrative skills, confidence in working with HR systems, and a friendly, solution-focused approach.
What you’ll do
Onboarding
- Coordinate onboarding for new employees in Munich and remote locations.
- Prepare and manage employment contracts and documentation.
- Manage student and internship employment processes, including contracts, onboarding, and internship changes.
- Support employees during their first few weeks and organize onboarding activities.
- Coordinate payroll information and benefits administration.
Employee administration
- Prepare employment confirmations and contract amendments.
- Maintain and update internal knowledge materials.
- Maintain employee records, HR system data, and documentation.
- Respond to employee inquiries and provide support with HR tools (HiBob).
- Contribute to HR process improvements, internal documentation, and HR projects.
- Support employee terminations and offboarding processes, including documentation and benefit cancellations.
- Assist in resolving conflicts.
What we are looking for
- At least three years of experience in HR.
- Knowledge of German labor and social security laws and payroll systems.
- Fluency in German and English, with the ability to communicate clearly and professionally in both languages.
- Experience in the employment of foreign citizens.
- Experience in preparing personnel documentation and maintaining personal files.
- Good organizational skills and a detail-oriented mindset.
- Knowledge of HR software and Microsoft Office.
- Strong communication skills, the ability to work in a team, and a sense of responsibility.
