Events Specialist - LATAM

The Event Specialist serves as the dedicated event coordinator for targeted events within the assigned team. Duties encompass comprehensive oversight of event logistics, communication, off-site arrangements, as well as pre and post-event tasks as assigned.
The role is based in our Uruguay Office. In case of relocation, we offer full relocation support for you and your family to make your move smooth and worry-free.
What you'll actually do
- Assisting in the creation of event schedules, task assignments, and resource allocation to ensure successful execution.
- Providing support to the lead event planner in planning and executing events.
- Collaborating with relevant departments and managers to facilitate content development and ensure effective event execution.
- Maintaining clear communication with internal and external event planning committees, as well as client groups, to ensure alignment with event goals and objectives.
- Assisting in the coordination of off-site activities, pre-and post-tours, and managing logistics alongside departments, managers, and vendors.
- Supporting transportation coordination for off-property functions during events and facilitating VIP transfers as necessary.
- Providing support to the Marketing and Brand Department in developing event branding, marketing materials, and tools.
- Assisting in maintaining event calendars and implementing systems for effective event management and planning.
- Assisting in identifying potential event risks and supporting the development of crisis management strategies, including security measures.
- Providing support in coordinating subcontractors and vendors to ensure the successful execution of event components.
- Assisting in troubleshooting and resolving any issues that may arise during event planning and execution to maintain smooth operations.
- Supporting post-event follow-up with subcontractors, sponsors, and client groups.
- Assisting in conducting post-event debriefing sessions and providing analysis, budget recaps, and participant feedback for future event planning
Who we’re looking for
- Hold a Bachelor’s degree in Communications, Public Relations, or a related field.
- Possess a minimum of 2 years of hands-on experience in event planning and execution, with a strong preference for candidates who have participated in major international events, conventions, expo or large-scale public engagements.
- Demonstrate fluency in Spanish (both written and spoken) to effectively communicate with diverse stakeholders and the general public during events.
- Be fluent in English, and ideally possess conversational ability in the native language of the region served.
- Proficiency in Portuguese is highly desirable and considered a strong asset.
- Knowledge of design and registration systems will be a valuable asset.
- Exhibit strong interpersonal skills, with the ability to collaborate harmoniously and productively within a team environment.
- Be a self-motivated, detail-oriented, and service-oriented professional with excellent active listening skills and the confidence to manage dynamic event environments.
- Be willing and able to travel internationally on a regular basis.
