
Executive Assistant
We have an exciting opportunity for an Executive Assistant to join our team in Amsterdam. The role entails dedicated support primarily to the Head of People, and (approx. 20%) to the Head of Operations. Key stakeholders for this role, in addition to the direct reporting line, include the People Leadership Team.
Your Core Responsibilities:
You will ensure the highest quality along with the smooth workflow of tasks like:
- Perform all the duties of an Executive Assistant, organising complex calendars and leveraging time effectively by scheduling and maintaining all calendar items.
- Act as a central point of contact for internal and external stakeholders on behalf of the Head of People and Head of Operations.
- Provide dependable, high-level support interacting with internal colleagues and external partners, while maintaining confidentiality of highly sensitive information.
- Coordinate schedules, travel and logistics for the Head of HR and Head of Operations.
- Plan, organize and execute projects with minimal guidance.
- Identify opportunities to streamline administrative processes and implement improvements to enhance efficiency for supported leaders.
- Preparation of presentations, drafting and checking documents, making high level reports.
- Conduct research and prepare summaries or briefing materials as needed to support decision-making.
- Help track action items and ensure follow-ups are completed for ongoing projects and priorities.
- Assist with organizing team events, offsites, and departmental meetings to support team culture.
- Maintain and organize critical files, records, and documents for quick and efficient access.
- Work collaboratively with the EA to the Managing Director and other EAs to ensure consistency and alignment across administrative support functions.
Your Skills and Experience:
- 4+ years of personal assistant experience in a corporate or professional, international environment working for management level
- Excellent judgment and impeccable discretion; demonstrates highest level of confidentiality
- Strong organisational and coordination skills
- Ability to manage multiple tasks and projects simultaneously, ensuring timely and high-quality delivery
- Ability to work under pressure and manage urgent tasks against short timelines
- Ability to navigate cross-functional teams and build strong working relationships with diverse stakeholders
- Open mindset and flexibility to adjust to changing priorities and handle unexpected situations effectively
- Proficiency in office tools (e.g. Microsoft Office 365, Box, Slido, Trello and HRIS systems)
- Strong analytical and problem-solving skills to anticipate challenges and propose solutions proactively
- Skilled in clear, concise, and professional written and verbal communication, with the ability to relay information effectively across teams. English fluency essential and Dutch preferable.
