
Office Administrator
We have an exciting and newly created opportunity for an Office Administrator to join us as the face of the IMC office based in Hong Kong. In this role you will ensure all things related to the Hong Kong office are running smoothly and efficiently as we go through a fast-paced phase of growth and continue to contribute to providing a world-class workplace experience for all our employees. You will provide comprehensive support to a group of senior leaders and play a critical role in ensuring strong communication across the organization.
This position requires on-site work from our Hong Kong office.
Your Core Responsibilities:
- Exchange requests - coordinate and follow up with ad-hoc or planned service requests to the exchanges (including liaising with internal teams across different offices, preparing, reviewing, and submitting service requests)
- Office administrative support - coordinate with internal teams and external vendors (e.g. building management, cleaners, handyman) for office maintenance; order and maintain office supplies, ensure office equipment in good working order, deal with messengers and general line calls.
- Company events - coordinate, plan and organize company events
- Clerical support - preparation of expense reports, organize and maintain office files and records, assist team members in preparing PowerPoint presentations and other documents
- EA support - manage meeting schedules, appointments and travel arrangements for team members
Your Skills and Experience:
- 3+ years of experience in an administrative role with the ability to partner with a range of stakeholders in a variety of settings.
- High level of accuracy, diligent and attention to details when processing service request to exchange.
- Proficiency in communicating clearly both verbally and in writing.
- Fluent in English, Mandarin, and Cantonese.
- Good organizational skills, ability to manage multiple tasks efficiently.
