Global Payroll Coordinator

London

Location: London - hybrid, 3 days in the office
Reports to: Global Payroll Manager

Job purpose:  The Global Payroll Coordinator supports the accurate and compliant delivery of multi-country payroll operations. This role works closely with HR, Finance, Accounts Payable, and external payroll providers (e.g., Papaya Global) to ensure payroll data integrity, statutory compliance, and accurate journal postings into the accounting system (e.g., BC Central). The ideal candidate is detail-oriented, compliance-aware, resilient under pressure, and comfortable working in a fast-paced, global environment.

Principle accountabilities: 

Payroll Processing & Validation

  • Coordinate monthly payroll inputs across multiple countries (UK, EMEA, APAC).
  • Review and validate HR-approved data from the HCM system
  • Submit payroll data to external payroll providers within agreed timelines.
  • Review payroll calculations, statutory deductions, and variance reports.
  • Perform pre- and post-payroll reconciliations.
  • Support off-cycle payments (if any) and adjustments.

Data Integrity & Controls

  • Ensure HR cut-off deadlines are met and approved data is complete before payroll processing.
  • Validate payroll changes against supporting documentation.
  • Perform payroll control checks (pre-process, process, post-process).
  • Maintain payroll trackers, planners, and monthly checklists.
  • Escalate discrepancies, risks, or compliance concerns promptly.

Compliance & Statutory Requirements

  • Support compliance with local tax, social security, pension, and labour regulations across UK, EMEA, and APAC.
  • Ensure statutory filings are completed by payroll providers.
  • Maintain documentation to support internal and external audits.
  • Monitor legislative updates impacting payroll.
  • Support year-end activities (e.g., P60s, annual declarations, local filings).

Payroll Accounting & Reconciliation

  • Review payroll journals prepared by the payroll provider.
  • Validate payroll costs, employer contributions, and statutory liabilities.
  • Reconcile payroll outputs to the general ledger (BC Central).
  • Support monthly payroll accruals and variance analysis.
  • Assist Finance with payroll reporting and audit requirements.

Vendor & Stakeholder Management

  • Act as point of contact for external payroll providers.
  • Liaise with HR to resolve data discrepancies prior to payroll cut-off.
  • Collaborate with AP to ensure payroll funding is transferred on time.
  • Support employees with payroll-related queries.
  • Contribute to payroll process improvements and transformation initiatives.

Qualifications and experience:

  • 3+ years payroll experience, ideally multi-country (UK & EMEA essential; APAC desirable).
  • Experience working with outsourced payroll providers
  • Strong understanding of payroll controls and reconciliations.
  • Basic accounting knowledge (journals, accruals, GL reconciliation).
  • Experience working with HCM systems (e.g., HiBob).
  • Strong Excel skills (pivot tables, lookups, reconciliations).
  • High attention to detail and ability to meet strict deadlines.
  • Strong communication skills across global stakeholders.

Desirable:

  • CIPP qualification (or equivalent).
  • Experience supporting payroll transformation or system implementation.
  • Exposure to payroll data integrations (HCM → Payroll → Finance).
  • Experience in high-growth or scaling international organisations.
