The Role

Recruitment Context

We are opening this position to support the continued growth of our Back Office team. As our transaction volumes expand across Europe, we need a senior operator who can handle the most complex payment and FX operations with full autonomy, ensure our regulatory control framework meets the highest standards, and contribute to the continuous improvement of our processes.

Manager & Team

You will report to Marc Lippler, Head of Back Office, with iBanFirst for 6 years.

The Back Office team is currently based in Brussels (Avenue Louise, Ixelles), embedded in an office of 25 people. You'll work closely with Finance, Compliance, Technology, Treasury, and banking partners across Europe.

The role can be based in Brussels (Avenue Louise), Paris (Porte Maillot) or London (The City).

What will you do?

As a Senior Back Office Analyst, you are the expert in the room. You handle the most critical operations with precision and autonomy, act as the escalation point for complex cases, and drive improvements that make the team more efficient and resilient.

Task breakdown:

  • 40% — Production & daily operations: Executing and controlling the most complex payment flows, FX settlements, and safeguarding controls
  • 60% — Control, projects & process improvement: Strengthening the control framework, driving automation and data-driven monitoring

Key responsibilities:

Production & Operations:

  • Execute and validate domestic and cross-border payments (SWIFT, SEPA, TARGET2, FPS, etc.) with full command of edge cases and exceptions
  • Monitor and settle FX trades with liquidity providers; manage collateral requirements
  • Perform daily safeguarding controls and ensure full compliance with regulatory requirements on client fund protection
  • Lead breaks investigation and resolution — own complex reconciliation issues from identification to closure
  • Handle exceptional liquidity line decisions and high-impact operational issues
  • Process RMA requests and liaise with banking partners via SWIFT and other channels
  • Provide expert operational support to the Front Office on payment and FX issues

Control & Improvement:

  • Approve exceptional cases outside standard procedures; make sound judgment calls on complex operational scenarios
  • Oversee regulatory compliance and reporting requirements
  • Use data tools (Metabase, Grafana, SQL, Power BI) to monitor operations, identify anomalies, and improve controls
  • Lead or contribute to automation and process improvement projects
  • Liaise with Risk, Product, Treasury, and Finance teams on operational matters

Role Objectives

First 3 months:

  • Operate autonomously across all standard and complex payment and FX operations
  • Build a solid understanding of our control framework, regulatory environment, and internal tools
  • Identify first improvement opportunities

First 6 months:

  • Be the go-to expert for complex operational scenarios and escalations
  • Lead or co-lead at least one process improvement or automation initiative
  • Contribute meaningfully to the team's control and reconciliation framework

First 12 months:

  • Drive measurable improvements to operational efficiency and control quality
  • Be a fully trusted senior member of the team, supporting the Head of Back Office on governance matters
  • Have delivered at least one significant automation or monitoring project

 

What do you bring?

Experience:

  • 4–5 years of experience in Back Office operations, payment operations, or financial operations in a fintech, bank, or payments company
  • Solid understanding of payment schemes (SWIFT, SEPA, TARGET2, FPS…), FX settlement, and safeguarding regulations

Must-have skills:

  • Fully autonomous — you take ownership of your scope, operate independently, and know how to move forward without waiting to be told
  • Rigor and structure — meticulous in controls and documentation, high stress resilience
  • Data-driven — comfortable with SQL, Power BI, Metabase, or Grafana to monitor, analyse, and improve
  • Problem-solving mindset — you dig into breaks and incidents and don't stop until they're resolved
  • Ethics and integrity — non-negotiable in a regulated financial environment
  • Excellent communicator — at ease with internal stakeholders across Finance, Risk, Compliance, and Technology
  • Fluent in English (working language); French and/or Dutch is a plus

Nice to have:

  • Experience with automation tools or workflow improvement projects
  • Familiarity with safeguarding requirements under PSD2/EMD
  • Knowledge of Metabase or Grafana

Compensation & Benefits (may vary by country):

  • Base salary: €55,000 – €65,000 gross annual, depending on experience
