What you’ll be doing
We are experiencing hyper-growth. In 2023, our headcount tripled, and expansion to 5,000 employees is already on the horizon. Critical to our success is ensuring that our VP, Service Delivery can focus on strategic priorities while operational and administrative needs are handled seamlessly.
As an Executive Assistant, you’ll play a vital role in managing day-to-day activities, streamlining processes, and executing special projects to ensure the GM’s efficiency and productivity.
Responsibilities:
- Schedule Management: Proactively manage the VP’s calendar to ensure alignment with priorities.
- Correspondence and Communication: Handle internal and external communications, including email management and maintaining contact lists.
- Travel and Logistics: Coordinate travel arrangements, accommodations, and event logistics.
- Project Coordination: Support special projects, from research and planning to implementation and follow-up.
- Meeting Preparation: Prepare agendas, take minutes, and track follow-ups to completion.
- Reporting: Develop and maintain tools to track key initiatives and provide regular updates to the VP on progress.
What you’ll need to apply
You’ll need to be a self-starter with a passion for operational excellence and the ability to manage competing priorities with ease.
Qualifications:
- Bachelor’s degree with outstanding academic performance.
- Experience: 3+ years in an Executive Assistant, Operations Specialist, or similar role.
- Technical Skills: Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar).
- Organizational Skills: Exceptional time management and multitasking abilities with an eye for detail.
- Communication: Strong verbal and written communication skills, with a knack for professionalism in client-facing correspondence.
- Strong people and stakeholder management skills (including cross-functional collaboration).
- Strong internal and external business development acumen.
Our Recruitment Process

- Deep dive interviews: Typically 3 interview stages designed to probe deeply the extent to which you have the skills, mindset, and behaviors to succeed in the role and at Hugo
- Assessment tasks: During the process we may request that you complete psychometric assessments and/or a presentation and/or task-based exercise
NB: the output of any assessments you complete is treated as confidential and will be used for the sole purpose of best determining your fit for the role and company
- Meet the team: We conclude our process by arranging for you to speak with potential colleagues informally, allowing for greater insight into our culture, environment and, yes, challenges(!)
