The Role
The Product & Technology (P&T) department brings together around 500 product, technology, delivery and data specialists who build and support the digital products and capabilities that help the FT serve more than one million digital subscribers.
The department is led by the Chief Product and Technology Officer, who is part of the FT Management Board. The P&T senior leadership team includes the Chief Technology Officer, Chief Product Officer, Chief Data Officer, VP of Portfolio and VP of Cyber, alongside an Executive Team Assistant and business partners from the People and Finance teams.
This is a new role providing comprehensive administrative and organisational support to the P&T senior leadership team, working in partnership with the Executive Team Assistant already in post.
You’ll help keep a busy senior team organised and connected, managing complex diaries, meetings, travel and expenses as well as supporting events and other departmental activity. You’ll work with colleagues and stakeholders across different functions, levels and locations, so strong communication, sound judgement and the ability to manage competing priorities will be important.
There is also scope to become involved in wider P&T initiatives and the leadership teams of individual executives, providing opportunities to build your knowledge, skills and experience across the department.
Key Responsibilities
- Manage and coordinate complex diaries for senior leaders, including scheduling across multiple time zones and managing competing priorities.
- Arrange business travel and process expenses for members of the senior leadership team.
- Organise internal and external meetings, including room bookings, agenda preparation and meeting logistics, and welcome external visitors where required.
- Support the planning and delivery of department-wide events, including town halls, working groups, off-sites and social events, working with regional offices including Bulgaria and the Philippines.
- Liaise with internal and external stakeholders to support clear communication and effective coordination of meetings and events.
- Support senior leadership meetings through the preparation of slide decks and agendas, taking minutes where required and coordinating follow-up actions.
- Provide general administrative and ad-hoc support, including equipment ordering, maintaining team memberships and distribution lists, and managing small-value purchases.
Required Skills and Experience
- Strong organisational and prioritisation skills, with the ability to manage multiple responsibilities for a busy senior team.
- Excellent written and verbal communication skills, with the confidence to communicate professionally with colleagues and stakeholders at all levels and from a range of backgrounds.
- A high level of integrity and discretion when working with confidential or sensitive information.
- A proactive approach, with the ability to anticipate needs, use initiative and solve problems without requiring constant direction.
- The ability to work autonomously with minimal supervision while collaborating effectively with others.
- Experience organising meetings and larger events, with the ability to coordinate multiple logistical requirements.
- Excellent attention to detail, particularly when managing travel, expenses, diaries and meeting arrangements.
- Confidence using digital workplace tools, such as Google Workspace, Slack, AI tools and project management platforms.
- Curiosity, openness to learning and a commitment to developing your skills and knowledge.
Desirable
- Experience supporting multiple senior stakeholders or working within a complex, fast-moving team.
- Experience coordinating meetings, events or activities involving colleagues across different locations and time zones.

We currently operate a hybrid model which requires staff to work onsite 50% of the time, subject to role requirements & regular review.
