The Role
We’re looking for a highly organised and proactive Production Coordinator to help drive the smooth day-to-day running of our in-house production studio. This pivotal role sits at the crossroads of creative, production, and operations — ensuring seamless coordination and consistency in the delivery of high-quality branded content.
As the organisational heartbeat of the team, you’ll oversee logistics, manage key administrative processes, and support production from initial brief through to final delivery. Working closely with producers, project managers, creatives, and commercial teams, you’ll help keep projects moving efficiently and ensure every piece of content meets our creative vision and brand standards.
Key Responsibilities

Provide daily administrative and operational support to the production team

Maintain up-to-date production trackers and schedules via Monday.com

Assist with freelancer and supplier onboarding, contracts, and payment

Help manage invoices, purchase orders, and supplier payments through Coupa
-
Support budget reconciliation and liaise with finance to maintain production cost tracking

Create and distribute call sheets for video shoots

Book travel, accommodation, and logistics for crew and talent

Maintain and create production documents and templates

Help organise team events, shoots, and training sessions

Contribute to location research, permit arrangement, and logistics

Act as the central point of contact for the production team’s needs
Required Skills and Experience
-
2–3 years’ experience in an administrative, production coordination, or operations role — ideally within a media, publishing, or creative agency environment

Excellent organisational skills and attention to detail

Strong communication skills and confidence working with cross-functional teams

Familiarity with production workflows (especially video, branded content, digital publishing)

Experience using Coupa or similar finance systems

Proficiency with Google Workspace; Monday.com a plus

Calm under pressure, adaptable, and proactive

A passion for storytelling, creativity, and media production
Desirable

Knowledge of creative or commercial media environments

Previous experience working in a fast-paced production studio

Experience supporting shoot logistics including travel and accommodation
