Why this role matters

Our Operations & Administration team ensures smooth and efficient execution of company projects and processes. By providing structured administrative support, tracking project workflows, and maintaining financial and logistical organization, this team enables other departments to focus on their core activities and deliver business objectives.

As an Operations & Administration Specialist, you will play a key role in keeping projects on track, ensuring budgets are accurate, and assisting colleagues with administrative needs. You will collaborate closely with multiple teams, supporting both the operational and financial aspects of projects, and helping maintain business continuity.

What you'll actually do
  • Handle administrative tasks including travel bookings (tickets, hotels, transportation via Perk), invoice processing, and budget updates.
  • Reconcile receipts and transactions using Odoo.
  • Track project tasks to ensure completion, including contract sign-offs, invoice payments, and budget logging.
  • Monitor and report on the status and flow of projects, ensuring timely updates for relevant stakeholders.
  • Support cross-departmental teams with ad hoc administrative and operational needs.

Who we’re looking for
  • Higher education (Bachelor’s degree) in progress or completed, preferably in Business Management, Administration, or a related field.
  • Strong organizational and multitasking skills.
  • Detail-oriented with the ability to track multiple processes and projects simultaneously.
  • Effective communication skills to collaborate with internal teams.
  • Comfortable working with travel booking and financial tools (e.g., Odoo, Perk, Excel).
  • English proficiency – intermediate or higher.

Nice to have:

  • Previous experience in project coordination or administrative roles.
  • Familiarity with budget tracking, reporting, or invoicing processes.
  • Interest in process optimization and workflow management.
