POSITION OVERVIEW

Reporting to the AVP of RFx Operations, the RFx Operations Specialist supports activities related to RFx (Request for Information, Request for Proposal, Request for Quotation, etc.) operations. This detail-oriented role is responsible for maintaining and optimizing the RFx content library, leveraging AI to streamline content and workflows, collaborating with stakeholders to ensure content accuracy, and developing and maintaining metrics and reporting to support RFx Operations performance objectives.  This position interacts and collaborates with all levels of e2open’s organization, ensuring the maintenance of assets and tasks relevant to e2open’s client-facing RFx content.

 

RESPONSIBILITIES:
This entry-level role is essential to maintaining the quality and accuracy of our RFx/proposal content and supporting the efficient delivery of client-facing responses using the content platform (Responsive).

  • Content Management:
    Maintain and optimize the RFx content library in Responsive by auditing entries, writing, editing, proofreading, updating existing content, and archiving outdated materials to ensure the accuracy and relevance of content used in client responses.
  • Data Entry & Content Updates:
    Provide accurate and timely data entry support within the Responsive platform, ensuring newly created or revised content is correctly categorized and accessible.
  • Content Cataloging & Upload:
    Catalog completed RFx responses, prepare and tag documents for upload to Responsive to support effective search, reuse, and content governance.
  • Platform Adoption & Training:
    Assist with training new and existing users on Responsive best practices, and act as a platform champion to drive adoption across internal teams.
  • Metrics & Reporting:
    Maintain monthly, quarterly, and annual RFx data metrics using Responsive and Salesforce. Proactively analyze and share insights to recommend content or process improvements. Prepare data reports, dashboards, and presentations for the AVP of RFx Operations to support business reviews and strategic planning.
  • AI & Automation:
    Contribute to the identification and implementation of AI-driven opportunities to streamline RFx content workflows and improve content quality.
  • Collaboration with Stakeholders:
    Liaise with RFx Managers and Subject Matter Experts (SMEs) to validate, enhance, and update content based on evolving business needs and solution offerings.
  • Project Management Support:
    Assist RFx Managers in tracking deliverables, maintaining project timelines, and ensuring tasks are completed to support RFx deadlines and goals.

QUALIFICATIONS & EXPERIENCE:

  • 0-2 years’ experience in global proposal/process management/project management
  • Bachelor’s degree in Marketing, Communications, English or related field highly desired and/or previous RFx or Responsive experience.
  • Exemplary oral and written communication skills.
  • Proficiency with Microsoft 365 (Word, Excel, PowerPoint, SharePoint, Teams)
  • Knowledge of Salesforce.com extraction and reporting
  • Demonstrates ownership and a sense of urgency in completing projects by established deadlines
  • Detail-oriented with the ability to multi-task in a fast-paced environment, and to manage multiple projects, deadlines, priorities, and teams with minimal oversight.
  • Demonstrated success with interpersonal skills, self-awareness, work ethic, positive attitude, flexibility, and adaptability
  • Strong organization skills.
  • Ability to curate and organize content.
  • Strong project and time management skills.
  • Ability to work flexible hours and travel on occasion

 

PHYSICAL REQUIREMENTS:

  • General office environment and responsibilities requiring:
  • Extensive use of the computer, which involves viewing a monitor and keyboarding for most of the workday.
  • Placing and receiving phone calls
  • Occasionally moving and lifting objects up to 20 pounds
  • May require 50% travel or more if needed.
