Project Assistant

We are currently looking for a Project Assistant to join the Project Management Office and help build and scale our Consulting Delivery function.
What exactly will you do?
Project HR Functions:
- Onboarding & Offboarding: Facilitate the seamless onboarding and offboarding of engineers to/from project and resource management systems, ensuring all necessary documentation and system entries are completed in a timely manner.
- System & Platform Troubleshooting: Serve as the point of contact/escalation point for troubleshooting access issues related to project management platforms and systems, ensuring quick resolution for all users.
- Profile & Certification Tracking: Maintain and update engineer profiles and certifications, ensuring all credentials are current and properly tracked within the system based on inputs from engineer managers.
- Timecard Management: Review and verify weekly timecards, ensuring project work and internal activities are logged accurately and in compliance with company procedures.
- Data Preparation for Reporting: Collect and prepare relevant data for internal and external reporting requirements related to operation & project management functions.
Project Finance & Contract Administration:
- Contract Registration: Collaborate closely with Sales and Finance to manage the end-to-end registration of Statements of Works. Ensure all incoming contracts are accurately documented, tracked, and administered in alignment with project agreements.
- Contractor Administration: Serve as the main administrative point of contact for external contractors, managing their onboarding, tracking contract duration, and ensuring seamless integration into active project streams.
- Budget & Schedule Synchronization: Crosscheck and synchronize project budgets and schedules, ensuring they align with the approved project plan and timelines.
- Monthly Reporting: Prepare and review data for monthly financial and project reports, ensuring timely submission and follow-up on results to key stakeholders.

Professional Skills
- Technical Proficiency: You are a confident user of Google Suites or MS Office, Gmail/emailing, file management/GDrive, and basic Excel/Sheets formulas.
- Presentation & Documentation: You have experience with Docs/Word and Slides/PowerPoint for document and presentation creation.
Advantage
- Degree in Project Management, Business Administration, Logistics, Office Management, or a related field.
- 2+ years of experience as a team or executive assistant, preferably in a fast-paced environment.
- Familiar with CRM systems, basic project management, HR, or accounting tasks.
- Strong knowledge of internal operations, company regulations, and procedures.

Total compensation
For this role, our gross monthly salary ranges from 600,000 - 900,000 HUF gross, depending on your assessed seniority level during selection.
