Position Summary: This full-time position is within the Marketing team working in our Cambridge office on a hybrid basis (minimum 3 days in the office). Please note, there may be some travel from time to time to the US to support in-person events.

 

Ready to make an impact and create events that truly support patients and healthcare communities? Cycle Pharmaceuticals are recruiting for an Events Coordinator to lead the planning and delivery of external events that support our mission and the rare disease community.

This role will primarily focus on coordinating Cycle Pharmaceuticals presence at exhibitions, congresses, conferences and external healthcare events across the US. You’ll manage logistics, timelines, vendors, and stakeholder coordination to ensure every event is delivered professionally, compliantly and to a high standard. Over time, there will be opportunities to help shape and support future Cycle-led events and community initiatives as our events programme grows.

You’ll collaborate and work closely with Marketing, US Sales team, Medical Affairs and compliance and external suppliers to ensure our events deliver meaningful experiences while supporting brand and business objectives. A key part of the role will involve partnering with Sales leadership to prioritise events, align activities to regional needs, and maximise the impact of Cycle Pharma presence at external conferences and exhibitions.

What you’ll be doing in this role:

  • Plan, coordinate and deliver a range of events in the US including, exhibitions, conferences and external healthcare events.
  • Manage all event logistics from venues, travel, catering to registration, AV, booth requirements and on-site support.
  • Ensure all events comply with GDPR, internal SOPs and other relevant regulatory requirements.
  • Collaborate with internal teams and external partners to ensure events meet brand and business objectives.
  • Track budgets, maintain timelines and ensure compliance with regulatory requirements and internal standards.
  • Maintain event calendars, databases and post-event reporting.
  • Partner closely with US Sales Directors to prioritise event activity, align plans with commercial objectives and ensure the right events and opportunities are being supported across regions and therapeutic areas. 
  • Support events on the day either in person or virtually to ensure smooth delivery and handle post-event activities, including feedback, reporting, and continuous improvement.
  • Responsible for performance management of the events.

 

The following skills and experience will be important in helping to set you up to succeed:

  • Proven experience coordinating external events, conferences or congresses ideally within pharmaceuticals, healthcare, life sciences, or a regulated industry.
  • Strong organisational and project management skills with excellent attention to detail.
  • Experience managing multiple events and manage priorities.
  • Strong communication and stakeholder management skills.
  • Understanding of compliance requirements within US pharma or willingness to learn.
  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint) or project management tools.

 Desirable

  • Experience supporting medical or scientific events (e.g. congresses, advisory boards).
  • Experience working with virtual and hybrid event platforms.
  • Budget management experience.
  • Familiarity with rare disease or specialty pharmaceutical environments.
