Location: Detroit, US – This position is full time, 5 days per week, Monday – Friday, 8am – 5pm EST working onsite at our Detroit office.
Salary - $50,000 - $55,000 depending on experience
Overview of the role
We’re recruiting for an Office Administrator to join our team and be the first point of contact for Cycle Vita, our dedicated Patient Support Hub.
As the first voice our callers hear, you’ll set the tone for a supportive and positive experience. Whether it’s a patient seeking guidance or a healthcare provider looking for support, you’ll be ready to assist. You’ll get to the heart of each situation, share helpful information about our programs, and make sure callers are put forward to the right and relevant person. With a focus on learning and growth, this role opens the door to exciting future progression opportunities as an Access Specialist.

What you’ll be doing in this role
- Handle all incoming calls and emails promptly and professionally, following departmental Standard Operating Procedures (SOPs) to provide timely and helpful responses.
- Build strong, respectful relationships with patients, caregivers, insurance providers, healthcare professionals, and internal teams.
- Work closely with Cycle Vita’s Access Specialists and Clinical Education Managers to ensure calls and messages reach the appropriate team members.
- Document all inbound interactions in the Cycle Vita CRM system to maintain clear and reliable communication logs.
- Identify and understand patient needs, escalating complex cases to Access Specialists and Clinical Education Managers as appropriate.
- Stay organized and efficient and prioritize daily workload to ensure all tasks are completed accurately and on schedule.
- Expand knowledge and skills through attending training courses, quality reviews, and self-directed learning about Cycle Vita’s programs and services.
- Support the Cycle Vita team with any additional responsibilities as needed, including cross-training.
The following skills and experience will be important in helping you succeed in this role:
- Bachelor’s degree in communications or relevant industry experience.
- Strong active listening skills and clear written and verbal communication for both internal and external audiences.
- Proven track record of upholding the highest ethical standards in all professional interactions.
- Confident in managing patient support services effectively.
- Organized and results-driven and executing tasks to meet business objectives.
- Comfortable working with cross-functional teams, including sales, market access, marketing, regulatory, and compliance.
- Demonstrates composure under pressure, maintaining an optimistic outlook and solutions-focused approach.
- Proficient with Microsoft Office and experience with CRM platforms such as Salesforce, Veeva, or Microsoft Dynamics preferred.
- Available to attend occasional team meetings and trainings in person when required.
Desirable skills but by no means essential:
- Experience with building relationships with healthcare providers and clinics and patients within the rare disease space.
