Office Manager

The type of contract is a full-time legal agreement, not a B2B contract.
100% office work (NV Tower, 59 G.M. Dimitrov Blvd, Sofia, Bulgaria)
Working hours: Monday to Friday 9:00 AM to 6:00 PM
Duties & Responsibilities:
- Greeting, welcoming visitors and directing them to the appropriate departments or individuals, provide general support to visitors;
- Booking meeting rooms, ensure that meeting rooms and reception area are tidy and presentable, will all necessary stationery and material (pens, paper, water, etc.);
- Liaise and supervision of facility management vendors, including cleaning, catering and security services;
- Maintaining the office condition and office equipment as needed and arrange necessary repairs;
- Ensuring that basic facilities, such as water and heating are well-maintained;
- Coordinate with IT and Procurement departments on all office equipment;
- Monitor office expenses and costs;
- Helping to organize and maintain office common areas;
- Ensuring that facilities meet government regulations, health and security standards and energy efficiency requirements;
- Check frequently the levels of office supplies, maintain and place appropriate orders and document financial information related thereto;
- Maintain office security by following safety procedures and controlling access via the reception desk, issue visitor badges;
- Receive letters, packages and distribute them, answer phones, taking messages and writing e-mails, perform administrative tasks including filing and photocopying;
- Answer questions and address complaints;
- Partner with HR to update and maintain office policies as necessary.
Qualifications & Experience
- Proficient in English and Bulgarian (oral and written);
- High school diploma;
- 2+ years of the proven office management, administrative or assistant experience;
- Excellent communication skills and proficiency in MS Office;
- Customer service attitude;
- Ability to work well independently under limited supervision;
- Familiarity with office organization and optimization techniques;
- The ability to be proactive and use the initiative: to see what needs doing and to do it;
- Attention to detail and problem solving skills;
- Good organizational and multi-tasking abilities.
