Overview
As the Administrative Lead / Chief Executive Assistant to the Founder of Constructor Group, you’ll be in a highly visible role at the center of fast-paced activity, using your superior organizational, project, and time management skills. The role is for Problem Solvers and seeking development and challenge. You will be responsible for the coordination of all administrative support for the Executive and his family, leading a team of 2-3 Executive Assistants and 15+ supporting personas (drivers, housemaids, chefs, etc) as the main interface for all tasks including coordination of meetings and appointments, travel, events and beyond.
The ideal candidate is a seasoned manager, master of logistics planning, has the ability to anticipate needs, incredible attention to detail, and flawless execution of multiple priorities with the ability to delegate across a team of EAs. You must understand what it takes to support an Executive at this level, with the flexibility and eagerness to work on-demand as needed. It is critical that you are able to use discretion and confidentiality when working with sensitive information and senior leaders.
Key Responsibilities & Requirements
- Experience managing teams, building work processes from scratch, ideally with background on the service industry with service-oriented mind set.
- Impeccable attention to detail, strong organizational skills and ability to structure and prioritize work in a fast-paced environment while handling multiple tasks concurrently
- Service-oriented mindset, responsiveness and ability to switch gears at a moment’s notice
- Ability to proactively anticipate needs without being asked or directed
- Exceptional verbal, written, and interpersonal communication skills with impeccable attention to detail
- Flexibility to work across multiple time zones, be available on-demand (24x7)
- Ability to maintain strict confidentiality, discretion, and professionalism in all interactions.
- Strong organizational and multitasking abilities to manage multiple requests with competing deadlines.
Travel Requirements
- Ability to relocate to Singapore / Germany (Bremen) / Turkey (Bodrum).
- Valid passport with the ability to travel frequently is required
- Frequent travels to Singapore, Turkey, Germany, Italy, Switzerland, Serbia, Bulgaria.
- Ability to travel on a short notice and on demand for urgent or scheduled tasks and support CEO during business trips.
Additional Qualifications
- Fluency in English (spoken and written); additional languages are an advantage.
- Must pass comprehensive background checks (criminal, psychological, substance use).
- Exceptional communication and interpersonal skills, capable of confidently supporting high-level stakeholders.
- Adapt to rapidly changing priorities and handle high-pressure situations with composure and professionalism.
