Your Role

As Executive & Team Assistant, you'll be the operational backbone for our COO and leadership team, keeping the Munich office running smoothly as we scale. You'll work daily across every department, coordinating meetings, travel and events for leadership, and will be a trusted first point of contact for anyone visiting or joining constellr in Munich. This is a role where organization and discretion translate directly into leadership's ability to focus on scaling the business

Key responsibilities

  • Manage complex calendars, travel arrangements and expense reporting for the COO and senior leadership 
  • Coordinate leadership meetings, offsites and cross-functional workshops end-to-end 
  • Support onboarding logistics for new hires and external visitors 
  • Prepare agendas, minutes and follow-up trackers for leadership meetings 

Job requirements

About you 

Required: 

  • Proven experience as an Executive Assistant, Team Assistant or similar support role 
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously 
  • Fluent German and English, written and spoken 
  • High discretion when handling confidential or sensitive information 
  • Proficient with standard office/productivity tools (calendar, travel booking, expense systems) 

Nice to Have: 

  • Experience supporting leadership in a scale-up or fast-growing company 
  • Event planning experience 
  • Familiarity with the aerospace, defense or deep-tech sector
