Executive Assistant

We are seeking a dynamic and highly organized Executive Assistant to support our leadership team and help keep our operations running smoothly. In this versatile role, you’ll manage calendars, communications, and day-to-day priorities for C-level leaders, while also taking an active role in office management and event coordination.
This role requires a high level of attention to detail and the ability to prioritize effectively in a dynamic environment.
Responsibilities:
- Manage and coordinate calendars for C-level executives, including scheduling meetings, appointments, and travel arrangements
- Serve as the first point of contact for internal and external communications on behalf of leadership
- Organize executive-level meetings, prepare agendas, and take meeting minutes when needed
- Maintain clear records and documentation for executive schedules and company matters
- Anticipate executive needs and proactively address administrative issues
- Oversee general office management tasks, including supplies, facilities, and vendor coordination
- Organize internal and external events, such as team offsites, leadership workshops, and client meetings
Requirements:
- Minimum 1 year of prior experience in a Personal or Executive Assistant role
- Strong organizational and multitasking skills with the ability to prioritize effectively
- Excellent verbal and written communication skills
- Discretion and trustworthiness when handling sensitive information
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) or equivalent tools
- Strong time management and problem-solving skills
Bonus if you have:
- Experience working with international teams or across time zones
- Familiarity with digital tools such as Google Workspace, Zoom, Slack, or Notion
- Background in business administration, project coordination, or customer support
- Fluency in additional languages beyond English
- Interest or experience in the logistics, tech, or supply chain sector
