Job Description: Project Manager, Medical Affairs
Department: Medical Affairs (Medical / Safety / Regulatory Affairs)
Location: US, Remote
Reports To: Associate Director / Medical Affairs
Role Description: The Project Manager, Medical Affairs position will lead the planning, coordination, and execution of core projects and operational processes across the Medical Affairs organization. This role is responsible for establishing project management discipline, enabling cross-functional alignment, driving timelines, supporting governance and documentation, and ensuring visibility of workstreams to leadership stakeholders.
Key Responsibilities:
- Lead project planning, scheduling, and tracking for Medical Affairs priorities and cross-functional deliverables.
- Develop and maintain project timelines, dashboards, status reports, and documentation.
- Implement and manage project management tools (e.g., ClickUp) to drive cross functional coordination and efficiency, including guiding stakeholders on best practices and usage.
- Support operational alignment across different project workstreams
- Facilitate meetings, prepare agendas, document actions/risks, and follow up to ensure progress. Supports preparation for audits (internal/external), CAPA processes, and governance meeting materials.
- Identify risks, resource needs, and process gaps; propose solutions to enhance efficiency and transparency.
- Participates in the development and refinement of project management processes, SOPs, and departmental initiatives to improve operational efficiency and effectiveness.
Qualifications:
- Bachelor’s degree (science or healthcare preferred) or equivalent experience in a technical field
- 2 – 4+ years of project management experience in pharmaceutical, biotech, or medical device setting preferred
- Strong understanding of project management methodologies and workflows
- Experience with project management software (ClickUp experience preferred, or ability to adopt rapidly)
- Excellent communication, stakeholder management, and organizational skills
- Strong interpersonal skills to enable ongoing communication (face to face, phone and email) with global team members and coordination of data collection is required
