The Office Manager is responsible for day-to-day reception duties and performs a variety of administrative and clerical tasks, working closely with People Operations and IT teams. The duties of the Office Manager include providing support to employees, assisting with daily office needs, ensuring a high level of organizational effectiveness and communication within and outside the company. You will be reporting to the Office Manager in Copenhagen, working independently and as a team player.

 

What you'll do:

  • Assist with employees onboarding and offboarding processes
  • Answer, screen and forward requests in an articulate, professional and efficient manner, whilst maintaining a friendly and pleasant attitude and all times, taking messages as and when required, informing the relevant recipient via email.
  • Maintain general appearance of office and meeting rooms to a high standard
  • Overview stationery supplies stock levels and placing orders.
  • Ensure beverages/snacks are ordered and stocked regularly and the break room is kept orderly and clean
  • Manage communication to channels regarding issues that affects the office, such as facilities issues, emergencies, etc
  • Organize events, such as parties, meetings and conferences
  • Review facilities tickets via Jira and complete actions
  • Overall responsibility of IT - Preparing/purchasing equipment for new starters, managing logistics, coordinating recycling of equipment
  • Act as on-site contact for all facilities issues, keeping the building compliant to Health and Safety standards, conduct regular risk assessments, coordinate emergency procedures. Ensure all employees sign the necessary health and safety documentation.
  • Assist with energy saving implementation and environmental responsibilities
  • Assisting Office Manager with projects/ad hoc tasks
  • Support employees globally by managing our travel booking tool
  • Ensure the employees follow the company´s guidelines/policies in terms of office management
  • Manage phone subscriptions, keycards and equipment
  • Maintain effective communication with the building’s landlord, suppliers, and contractors, continuously reviewing and negotiating agreements/contracts and offers to maximize value and secure the most favorable terms.

What you have:

  • Similar role or field minimum 2 year experience
  • High School or bachelor's degree. (Good level of General Education)
  • Must be professional, reliable and take ownership of work
  • Problem-solving attitude
  • Strong communication and interpersonal skills
  • Excellent customer service experience
  • Required to be in the office at least 4 times per week
  • Proficient in Microsoft Office
  • Efficient written and verbal English skills
  • Excellent organizational skills
  • Ability to prioritize tasks, multitasking and time management skills
