Executive Support to the CEO & Office Manager

ROLE OVERVIEW 

This is a hybrid role that combines executive support for the CEO with office management responsibilities. You will play a key role in ensuring the CEO’s day-to-day activities run smoothly while also managing the operational efficiency of our office. 

This role requires excellent organisational skills, the ability to handle confidential information with discretion, and a proactive approach to problem-solving. It’s a fantastic opportunity for someone who thrives in a dynamic startup environment and enjoys a mix of strategic and hands-on tasks. 

KEY RESPONSIBILITIES 

  • Manage CEO & Chair’s schedules, meetings, and travel.
  • Anticipate needs to improve efficiency and streamline operations.
  • Act as liaison with internal teams, board, investors, and stakeholders.
  • Prepare meeting materials, including agendas, presentations, and follow-ups.
  • Handle confidential information with discretion.
  • Take meeting notes and ensure action items are completed.
  • Provide research and project management support.
  • Oversee travel logistics, including visas and accommodation.
  • Track key projects, ensuring deadlines are met.
  • Prepare reports, presentations, and documents for leadership.
  • Monitor industry trends and summarise key insights.
  • Ensure the smooth running of day-to-day office operations.
  • Manage office supplies, IT equipment, and vendor relationships.
  • Coordinate company events, team-building activities, and off-site meetings. 

WHAT WE ARE LOOKING FOR 

  • Experience: 3+ years in a similar role, preferably in a fast-growing startup or tech company.
  • Skills: Exceptional organisation, time management, and communication skills.
  • Tech-literate: Comfortable using productivity tools (e.g., Microsoft Office, Confluence, etc.).
  • Problem Solver: Proactive, resourceful, and able to anticipate the needs of the CEO and team.
  • People Person: Approachable, discreet, and able to handle sensitive matters professionally.
  • Multi-tasker: Able to manage multiple responsibilities in a fast-moving environment.
  • Adaptability: Comfortable wearing many hats and thriving in a startup setting.
