
HR Operations & Payroll Specialist

We are seeking a highly organized and detail-oriented HR Operations Payroll Specialist to provide operational support for our Valencia office. In this role, you will assist with the entire lifecycle of employee administration—from seamless onboarding and contract management to ensuring full compliance with Spanish employment and tax law. You will support our people operations by collecting data and managing data for payroll processing, ensuring all tasks are timely, accurate.
Prior experience in payroll is considered a strong plus, as you will assist in collecting and managing the data required for payroll processing.
Key Responsibilities
HR Administration & Lifecycle Management
Contract Management: Assist in drafting employment contracts and contract addendums, ensuring they reflect current local labor laws and internal policies.
Social Security & Registrations: Support the formal registration and de-registration of employees with the Spanish Social Security and Tax Authorities (Tesorería General de la Seguridad Social and Agencia Tributaria).
Data Integrity: Maintain accurate employee records and documentation within our HRIS, ensuring data privacy and GDPR compliance.
Employee Support: Act as the first point of contact for colleagues regarding payroll, benefits, leave management, and general HR queries.
Payroll Operations & Compliance
Payroll Data Management: Support the collection and management of data for payroll processing, ensuring all information is accurate and submitted on time.
Tax Knowledge: Assist with the data collection for local tax and social security regulations, including supporting the management of special tax regimes (e.g., Beckham Law/Non-resident status). Knowledge of payroll tax compliance is a plus.
Reporting: Assist in gathering data for monthly payroll reports, audit data, and support the Finance team with reconciliations and month-end/year-end closings.
Annual Filings: Support year-end tax reporting (e.g., Modelo 190) and facilitate internal or external audits.
Strategic Support
Collaboration: Work closely with HR and Total Rewards (TR) to assist with compensation changes, benefits enrollment, and reward strategies.
Qualifications
Experience: Experience supporting HR Operations or Payroll data collection within the Spanish market.
Knowledge of local requirements:: Familiarity with Spanish labor law, social security systems, and tax regulations.
Specialized Knowledge: Familiarity with expatriate and non-resident taxation is a strong advantage.
Soft Skills: Exceptional attention to detail, strong organizational skills, and the ability to handle sensitive data with discretion.
Languages: Fluent in Spanish and English (both written and spoken) is essential for this international environment.
Proficiency in Microsoft Office Suite: Skilled in Excel and PowerPoint, with solid experience in Word, Outlook, and Teams/SharePoint for administrative support and data management.
