
Migration & Relocation Specialist

We're looking for a Migration & Relocation Specialist to join our team in Lisbon, Portugal, and lead the end-to-end relocation process for our international transferees. You’ll be responsible for building relocation strategies, managing immigration compliance, coordinating vendors, and ensuring a smooth, high-touch employee experience.
✅ Responsibilities:
✔️ Build and execute annual relocation roadmaps for 100–200 employees, in close collaboration with HR, Finance, Legal, and Business Unit leaders.
✔️ Forecast visa and housing demand, manage relocation budgets, and present quarterly updates to leadership.
✔️ Oversee all Portuguese immigration workflows (D1/D3, D6 visa types, and residence permits), ensuring full compliance with AIMA regulations.
✔️ Liaise with the Portuguese consulate in Nicosia and AIMA offices in Lisbon/Porto; monitor regulation changes and update stakeholders accordingly.
✔️ Conduct case-by-case compliance audits (NIF/NISS, criminal records, apostilles, and translations).
✔️ Select and manage relocation vendors including legal counsel, translators, and housing providers; negotiate SLAs and KPIs.
✔️ Design a premium employee relocation experience with detailed checklists, welcome packs, FAQ portals, and orientation sessions.
✔️ Host onboarding sessions covering Portuguese culture, tax programs (e.g., NHR 2.0/IFICI), and healthcare systems (SNS + private).
✔️ Coordinate operational tasks: document collection, visa uploads, appointment bookings, flight arrangements, and settling-in services.
✔️ Generate weekly dashboards tracking relocation pipeline, processing time, budget usage, and employee NPS.
✅ Requirements:
✔️ At least 5 years of experience in corporate immigration or global mobility, with 3+ years focused on Portuguese processes.
✔️ Proven track record of relocating 150+ employees annually in a fast-paced, high-growth tech environment.
✔️ Expert knowledge of Portuguese visa and residence permit procedures with AIMA.
✔️ Strong vendor management and contract negotiation skills, especially with legal and relocation service providers.
✔️ Fluency in English and Portuguese (spoken and written); Russian is a plus.
✔️ Proficiency in creating dashboards using Smartsheet or Google Sheets.
✔️ Excellent interpersonal and communication skills; able to engage with executives, guide employees, and interact with public institutions.
