HR Operations Specialist

We're looking for an HR Operations Specialist to ensure the smooth and efficient delivery of core HR services and processes to join our team in Lisbon, Portugal!

✅ Responsibilities:

✔️ Request and collect necessary personal documents and data from new hires.
✔️ Verify completeness and compliance of documentation with internal and legal standards.
✔️ Prepare employment contracts and annexes in line with organizational and legal requirements.
✔️ Manage employee records and ensure data accuracy in HR systems (HRIS).
✔️ Support onboarding and offboarding processes, including documentation and system updates.
✔️ Ensure all onboarding documentation is completed and filed appropriately.
✔️ Handle administrative aspects of contract changes (e.g., promotions, salary adjustments).
✔️ Manage termination processes, including documentation and offboarding steps.
✔️ Serve as a point of contact for new hires regarding administrative and HR matters.
✔️ Prepare regular and ad-hoc HR reports (e.g., headcount, attrition, absences, contract status).

✅ Requirements:

✔️ Bachelor’s or Master’s degree in a relevant field.
✔️ Fluent in English and Portuguese at least B2.
✔️ 2-5 experience as an HR administrative assistant, HR operations specialist, or immigration/relocation specialist with HR expertise.
✔️ Proficiency in Microsoft Office/Google Workspace.
✔️ Excellent organizational and time-management skills.
✔️ Hands-on experience with HRIS systems (e.g., Greenhouse, BambooHR).
✔️ Experience supporting payroll processes, benefits administration, and HR compliance activities.
✔️ Familiarity with labor laws and HR best practices.
✔️ Ability to work with confidential and sensitive information with discretion.

❗️Important: This is an on-site position based in Lisbon. Remote or hybrid work is not available. Candidates must either already be in Lisbon or be willing to relocate. Full relocation support will be provided if necessary.❗️
