Key Responsibilities

The Quoting Administrator plays a central role within boxxe and the work we do. This position sits within boxxe’s Commercial business unit, which includes Purchasing, Supplier Management, Deal Registration, Order Management, and Logistics.

The role is responsible for producing accurate, timely, and commercially aligned quotations, with a primary focus on Cisco — including hardware, software, licensing, support, and services. While the role may support additional vendors as required, the core responsibility centres on Cisco’s portfolio and commercial frameworks.

A key part of the role is ensuring all Cisco quotes are delivered within SLA and aligned with customer expectations, providing accurate pricing, clarity, and consistency to support sales effectiveness, protect margin, and enable a high‑quality customer experience.

What you’ll be doing

  • Processing: Manage high volumes of information via email, ERP, and CRM systems.
  • Putting the Customer First: Prioritise customer experience in all activities for both internal and external customers.
  • Maintaining: Support updates to supplier and deal registration documentation (e.g., portal and programme changes) to ensure visibility and ease of use for the team and wider business.
  • Engaging with Sales: Collaborate with sales teams, managers, and leaders to ensure seamless processes and interactions, and support education on how to maximise quoting effectiveness.
  • Performance: Deliver against performance metrics and KPIs to maintain and improve overall performance, enhancing the customer experience.
  • Innovating: Identify and implement improvements and efficiencies, evolving practices and processes through strategic thinking — including automation opportunities within our ERP (NetSuite) and potential complementary third‑party platforms.
  • Championing Diversity and Sustainability: Promote diversity and sustainability initiatives through partner programmes where applicable.
  • Quotation Creation: Produce accurate, validated, and commercially aligned quotations across multiple vendors for both product and support, including new support and renewal services.
  • Compliance: Ensure all quotations meet vendor requirements, pricing structures, and internal commercial guidelines.
  • Data Management: Process and manage large volumes of data across email, ERP, CRM, vendor portals, and distribution systems.
  • Data Interpretation: Combine datasets from multiple sources (price lists, vendor portals, internal systems, historical quotes) to create accurate and meaningful commercial outputs.
  • Commercial Insight: Interpret data and trends to support pricing decisions, opportunity qualification, and commercial insight.
  • Collaboration: Work closely with boxxe’s Sales and Renewals teams to ensure all quote requests are fully understood, documented, and validated.
  • Partner Engagement: Liaise with vendors and distributors to clarify queries, validate pricing, and ensure accurate information flow throughout the quoting process.
  • Process Adherence: Follow established processes to ensure traceability, accuracy, and easy retrieval of key commercial information.

Requirements

  • Industry Experience: Proven experience in a sales administration or commercial role within the technology industry, specifically the IT channel. Ideally within a Value‑Added Reseller (VAR) environment with an international presence.
  • Complex Sales Cycles: Experience managing complex sales cycles and delivering outstanding customer service.
  • Partner Relationships: Demonstrated ability to build and maintain effective partner relationships.
  • Attention to Detail: Excellent time‑management skills, strong attention to detail, and a passion for numbers.
  • Communication Skills: Exceptional communication and influencing skills.
  • Relationship Building: Ability to build and maintain strong relationships with stakeholders at all levels of the business.
  • Fast‑Paced Environment: Comfortable working in a high‑activity, fast‑paced environment with tight deadlines.
  • Team Player: A collaborative team player with the drive to push yourself and your team to succeed.
