What is this role about?

This role goes beyond traditional HR administration — it’s a chance to own and shape the backbone of People Operations. You’ll not only manage day-to-day HR processes and ensure compliance, but also reimagine and optimize how our HR systems and workflows function. Instead of following old ways of working, you’ll identify opportunities for automation, smarter integrations, and efficiency gains — directly improving how HR supports the organization.

Working closely with the Head of People & Performance, you’ll have a strong voice in shaping processes and tools, while keeping a people-first approach at the heart of everything.

Your main responsibilities will be:

• Ensure the accurate and timely execution of all employee lifecycle processes — onboarding, contract updates, health checks, perks & benefits, and offboarding — while maintaining compliance with labour laws and internal policies.
• Proactively monitor and enforce HR compliance, maintaining accurate employee records, reviewing contracts, and addressing potential risks or discrepancies in collaboration with the Head of People Operations & Performance.
• Serve as the primary contact for external providers (e.g., Deel, Confido), managing relationships to ensure effective collaboration and service excellence.
• Act as a trusted advisor to employees and managers, resolving operational questions with clarity and ensuring smooth internal service delivery.
• Oversee employee data accuracy across systems, supporting reliable insights for business decision-making.
• Drive HR system optimisation and automation, identifying and implementing workflow improvements and integrations to increase scalability and efficiency.

What would ensure success in this role?

• 3+ years of hands-on HRIS expertise (e.g., HiBob, Deel), including administration, troubleshooting, and automation.
• Proven ability to manage end-to-end employee lifecycle processes accurately and efficiently.
• Strong understanding of Estonian labour law (EU knowledge a plus) and HR compliance requirements.
• Demonstrated experience in process improvement and automation of HR workflows.
• Ability to translate complex HR processes into clear, actionable guidance for employees and managers.
