About the Role

As the Executive Assistant and Office Manager, you will play an essential role in ensuring the operational efficiency of our executive leadership and the seamless functioning of our office environment. This position requires an individual with specialized executive support and office administration expertise. 

You will serve as a key enabler for executives to focus on strategic priorities by managing complex schedules, coordinating high-stakes meetings, and proactively solving logistical challenges. Additionally, you will oversee critical office operations and processes, driving efficiency and maintaining a positive and professional workplace culture.

What Will You Do

Optimize Executive Productivity:

  • Manage schedules for C-level executives with precision, balancing competing priorities.
  • Coordinate and prepare for SLT meetings, SteerCo sessions, and strategic workshops, ensuring materials are well-prepared and distributed beforehand.
  • Anticipate executive needs and address potential conflicts in scheduling or resource allocation proactively.

Strategic Coordination and Communication:

  • Act as a liaison between the executive team and internal/external stakeholders, ensuring clear, professional, and timely communication.
  • Develop high-impact presentations, reports, and agendas that drive decision-making at the leadership level.

Travel and Event Logistics:

  • Design and manage comprehensive travel itineraries for executives, ensuring seamless coordination across time zones and international locations.
  • Plan and execute executive offsites and company events, managing logistics and vendors to create meaningful experiences.

Advanced Office Operations Management:

  • Lead initiatives to streamline office processes, including budget tracking, expense processing, and vendor negotiations.
  • Maintain a welcoming and efficient office environment to ensure resources, supplies, and contracts are managed effectively.
  • Implement systems to monitor compliance with office policies and lease agreements.

Proactive Problem Solving:

  • Identify inefficiencies in workflows or administrative practices and propose innovative solutions to improve operations.
  • Anticipate operational challenges and create contingency plans to address them swiftly.

Stakeholder Support:

  • Collaborate across departments to align office initiatives with broader company goals.

 What You Will Need

  • Education: Bachelor’s degree preferred or equivalent practical experience.
  • Experience: At least 5-7 years of experience in executive assistance or office management roles, ideally in dynamic, fast-paced environments.
  • Skills:
    • Exceptional organizational skills, with an ability to balance competing priorities effectively.
    • Proficiency in advanced tools within the MS Office Suite.
    • Strong written and verbal communication skills, including drafting executive-level correspondence.
    • Expertise in planning, logistics, and vendor management.
  • Other Qualifications:
    • A proactive, solutions-oriented mindset with the ability to work independently.
    • High level of discretion, maintaining confidentiality in all interactions.
    • Strong interpersonal skills to build trust and maintain relationships across all levels of the organization.
