About the role

We are looking for a highly organized, curious and reliable Certification & Information Security Specialist - QMS / ISMS (m/f/d) to help build and run the governance, audit-readiness and certification engine behind ARX Robotics’ growth.

This is not a back-office admin role. You will be part of a small, high-performing team that turns complex quality and information security requirements into day-to-day structure, evidence and execution.

You will work closely with the Quality & Information Security team and with teams across Business Development, Engineering, Production, IT, Operations and Supply Chain. Your job is to create transparency, follow-through and auditability across the system while learning fast in a demanding dual-use startup environment.

Your impact at ARX Robotics

  • Support the build-up, maintenance and continuous improvement of ARX Robotics’ governance and certification framework across QMS and ISMS topics.
  • Maintain and improve policies, procedures, work instructions, records, trackers and supporting documentation in a clear and structured manner.
  • Keep governance tools and workspaces clean and reliable, including action logs, audit trackers, evidence libraries, training records and document registers.
  • Drive follow-up with control owners on actions, findings, deadlines, risks and corrective measures and escalate early when progress is blocked.
  • Prepare evidence packages and organizational support for internal audits, external certification activities and customer due-diligence requests.
  • Maintain operational registers such as action lists, document status, risks, suppliers, training topics, exceptions and follow-up items.
  • Support awareness, onboarding and communication activities related to governance, quality and information security topics.
  • Identify small but meaningful improvements in structure, reporting, templates and ways of working that make the team faster and more reliable.
  • Create day-to-day clarity on status, deadlines and dependencies so the team can maintain high output with a small footprint.

Your profile

You are someone who enjoys making complexity manageable: you bring order, transparency and steady follow-through and you learn quickly from feedback and context.

Must have

  • Initial professional experience in quality management, compliance operations, PMO, information security operations, documentation control or a similarly structured role.
  • Exceptional organizational skills, strong attention to detail and a highly reliable follow-through on tasks, deadlines and commitments.
  • Confidence in working with structured documentation and digital tools such as Jira, Confluence or Microsoft Office.
  • Strong written communication in English, German and the ability to prepare information in a clear, concise and stakeholder-friendly way.
  • A proactive and transparent working style: you ask questions early, surface issues clearly and do not let action items disappear.
  • High learning agility, openness to coaching and motivation to grow quickly in governance, certification and audit-readiness topics.
  • A calm, team-oriented attitude and the ability to work well in a high-intensity startup environment without losing structure or quality.

Nice to have

  • Exposure to ISO 9001, ISO/IEC 27001, VS, internal audits, document control or evidence tracking.
  • Experience supporting cross-functional projects in a startup, scale-up, industrial, hardware-software or regulated environment.
  • Interest and work experience in defence, dual-use technology, robotics, autonomous systems or governance topics around trustworthy products.
  • Experience with templates, process documentation or structured meeting and follow-up management.
