The Role
We’re looking for an experienced Executive Assistant to work in close partnership with our CEO, while also providing support to other members of the C-suite where required.
This is a senior, high-trust role for someone who has supported C-suite leaders and operated in a Board-facing environment. You’ll act as a trusted partner to the CEO, helping manage priorities, maintain momentum across key actions and ensure their time and attention are focused where they can have the greatest impact.
AIQ is a growing, multi-country organisation, so you’ll need to be comfortable working across senior stakeholders, functions and geographies in a fast-moving environment.
What you'll be doing:
Executive Partnership & Priorities
- Working closely with the CEO to manage priorities, commitments and competing demands across the business.
- Providing additional executive support to other members of the C-suite where required.
- Managing a complex and ever-changing executive calendar, making informed decisions about where the CEO’s time and attention are best spent.
- Acting as a trusted gatekeeper and key point of contact for the CEO, using sound judgement and discretion.
- Keeping track of commitments and actions on behalf of the CEO, following up with senior stakeholders and making sure agreed actions move forward.
- Preparing the CEO for key internal and external meetings, ensuring the right context, information and materials are available in advance.
Board & Leadership Support
- Coordinating Board and leadership activity, including meeting preparation, papers, agendas, logistics, actions and follow-through.
- Preparing, proofreading and managing confidential correspondence, Board materials, presentations and leadership communications.
- Building strong working relationships with Board members, the senior leadership team and key stakeholders across the business.
- Supporting internal leadership communications where required.
- Handling sensitive and confidential information with complete discretion.
Projects & Cross-Functional Coordination
- Leading or supporting cross-functional initiatives and projects on behalf of the CEO.
- Bringing structure, pace and accountability to key actions and initiatives.
- Helping connect activity across teams and ensuring the CEO has visibility of important developments, risks, decisions and dependencies.
- Building strong working relationships across People & Culture, Operations, Finance, Sales, Product and other functions.
- Identifying opportunities to improve processes, ways of working and systems that help the CEO and wider leadership team operate more effectively.
Planning & Logistics
- Planning and coordinating key internal and external events, including leadership offsites, Board meetings, town halls and client or stakeholder events.
- Coordinating travel and itineraries where required, with international travel expected to be occasional rather than a significant part of the role.
- Providing additional high-level executive and administrative support as priorities evolve.
What you'll need:
- 8+ years’ experience as an Executive Assistant or in a comparable senior executive support role.
- Significant experience working directly with a CEO or other C-suite executive.
- Demonstrable experience operating in a Board-facing environment, including supporting Board meetings, papers, agendas, governance activity or senior stakeholder engagement.
- Experience acting as a strategic partner to an executive, going beyond diary and administrative management to help drive priorities and follow-through.
- Experience working in a high-growth, fast-paced environment such as a scale-up, technology company or similarly dynamic organisation.
- Strong judgement and discretion, with experience handling highly confidential and sensitive information.
- Excellent organisational skills and the ability to keep oversight of multiple priorities, stakeholders and workstreams at the same time.
- The confidence to prioritise on behalf of the CEO and make decisions independently within your remit.
- Excellent written and verbal communication skills, with the confidence to work with Board members, executives and stakeholders at all levels.
- Strong attention to detail, particularly when preparing executive or Board-level materials.
- A proactive approach and the ability to anticipate what will be needed rather than waiting to be asked.
- The ability to stay effective when priorities shift and work comfortably in an environment with some ambiguity.
- Experience working across distributed or international teams would be a strong advantage.
- A CIPD, business administration or other relevant professional qualification would be advantageous but isn’t required.
What's the hiring process?
- Screening call with our People Acquisition Partner to understand your motivation, relevant experience and overall suitability for the role, as well as giving you the opportunity to ask questions about the position, AIQ and the hiring process.
- Interview with our Chief People and Culture Officer to explore your experience in more depth, including how you’ve supported senior executives, operated in a Board-facing environment and worked as a trusted strategic partner. This stage may be held online or in person.
- Onsite interview with our CEO to discuss how you would work in partnership with the CEO, manage competing priorities and build strong relationships across the Board and C-suite. Additional members of the C-suite may also join this stage. Depending on the final interview format, we may ask you to complete a short task or presentation relevant to the role. If included, we’ll share the brief and expectations with you in advance.
